How we handle personal information when you interact with CALYX Cleaning online or book our services.

  • Booking and service data — address or site location, access instructions you choose to share, scheduling preferences, payment-related references (we do not store full card numbers on our own servers; payment processors handle card data if you pay by card).
  • Communications — messages you send by WhatsApp, SMS, email, or phone in connection with quotes, scheduling, or support.
  • Technical data — when you visit our website, standard server and analytics-type information such as IP address (may be truncated or aggregated), browser type, device type, and pages viewed. We keep this to a minimum consistent with running a secure, reliable site.

We do not knowingly collect special categories of data (e.g. health) unless you voluntarily include them in a message; please avoid sharing sensitive information unless necessary.

3. Why we use your data and legal bases

We use personal data to:

  • Respond to enquiries and provide quotes — legitimate interest in operating our business and communicating with prospective clients; where required, your consent when you submit a form.
  • Deliver cleaning services and manage accounts — performance of a contract with you (or your organisation) and steps before entering a contract.
  • Invoicing, payments, and records — legal obligations (e.g. tax and accounting) and contract performance.
  • Safety, security, and disputes — legitimate interests in protecting staff, clients, and property, and enforcing our terms.
  • Improve our website and service quality — legitimate interest in understanding aggregate usage patterns where we use analytics.

4. Sharing and processors

We do not sell your personal data. We may share it with:

  • Service providers who help us run the business, such as website hosting (e.g. cloud platforms), email delivery if enabled, and payment processors. They may only use data on our instructions and under appropriate safeguards.
  • Professional advisers (lawyers, accountants) where confidential and necessary.

Some providers may process data outside Ghana (e.g. EU or US hosting). Where that happens, we rely on lawful transfer mechanisms recognised under Act 843 and applicable regulations, such as adequacy decisions, standard contractual clauses, or your explicit consent where required.

We retain enquiry and client records for as long as needed to fulfil the purposes above, including resolving disputes and meeting legal retention periods (e.g. tax). Typical ranges: active client files for the relationship plus a reasonable period after; marketing enquiries for 12–24 months unless you ask us to delete sooner and we have no overriding reason to keep them.

We use appropriate technical and organisational measures appropriate to the risk, such as HTTPS, access controls for systems, and staff awareness. No method of transmission over the internet is 100% secure; we encourage you not to send payment card details by unsecured email or contact forms.

8. Your rights

Under Ghana's data protection framework, you may have rights including to:

  • Request access to the personal data we hold about you.
  • Request correction of inaccurate data.
  • Object to or restrict certain processing, where the law allows.
  • Request deletion where there is no overriding legitimate or legal reason to retain data.
  • Withdraw consent where processing was based on consent.
  • Lodge a complaint with the Data Protection Commission of Ghana.

9. Third-party links

Our site may link to WhatsApp, maps, or social platforms. Their privacy policies apply when you leave our site. We are not responsible for third-party practices.

10. Children

Our services are directed at adults and businesses. We do not knowingly collect data from children under thirteen without parental consent. If you believe we have, please contact us so we can delete it.

11. Changes to this policy

We may update this Privacy Policy when our practices or the law change. The "Last updated" date will reflect revisions. For material changes, we may provide additional notice (e.g. on our website or when you next book).
